Main Objectives
To manage the Administrative Functions of all areas related to Operations as directed by Director Flight Operations (DFO) to improve the operational performance and to satisfy the Business needs for the users.
Optimize service costs of the company. Implement cost saving and avoidance measures throughout the operations.
Assist DFO and COO to set up the strategy for managing the Operational administration activities.

Main Duties
To manage the daily Operational administration activities and maintain high quality and professional standard, by the following means:
1. Develop and implement the strategic direction of the Operational Admin activities that fully reflects Gulf Air’s business needs and constraints and do so within the overall direction of Director Flight Operations.
2. Manage, develop, implement, evaluate and recommend the daily office Administration activities in line with the standard GF policy & procedure.
3. Manage budget / expenditure while introducing, implementing or monitoring projects and adjust resources, priorities accordingly.
4. Prepare financial, operational and business management information reports for senior management and conduct in-depth analysis to identify high-cost areas with a view to implement alternatives to reduce the cost.
5. Ensure adherence to internal processes with the ability to work in a fast paced environment and provide organized execution of tasks under time constraints.
6. Regular follow up, Monitor and assist Administrators in Operations, Fleet Management and Training for daily activities.
7. Escalate any un-resolved issues to the Senior Management in timely manner.
8. Create various documentations as and when required e.g. RFPs for various projects, business cases, technical reports, project plans, policies etc.
9. Preparation of Business case, Tender evaluation, Vendor negotiation and Finalization.
10. Regular follow up for the pending Tasks and resolve the issues in co-ordination with various Departments.
11. Assist DFO and participate in preparing the budget, plan & strategies.
12. Coordinate with IT department for all tasks related to Operations Division.
13. Reviewing the user access requests in the system and provides the required approval in co-ordination with the Application owner & Business requirements.
14. Satisfy customers and seize opportunities to solve problems with speed, agility & efficiency & in turn improve client satisfaction.
15. Coach team members on work processes and procedures.
16. Prepare KPIs, reports on a periodic to the management.
17. Facilitate and assist to implement and close Audit recommendation on Operational & Contractual compliance.
18. Promote teamwork, team spirit, sense of belonging to the organization and motivation of staff morale.
19. Conduct ad-hoc assignments as directed by Director Flight Operations and Chief Operations Officer.

Experience
• 7- 10 years work experience in Administration functions.
• Knowledge of Operational Support Administration Services best practices.
• Creative, Detail oriented and self motivated.
• Project Management experience including development, planning and implementation in Airline Operations administration areas.
• Ability to co-ordinate activities across different departments within Gulf Air and manages projects effectively & efficiently.
• Ability to prioritize and work under pressure of multiple demands while meeting deadlines.
• Good communication skills are mandatory to create and present new ideas to management, to shape the user business needs into solutions.
• Knowledge of Operational Support Administration Services best practices.

Qualifications
• Bachelor's degree in business management
• Very good command in English (Both writing & speaking).
• Excellent understanding of Business Management.
• High level of negotiation, trouble shooting, and Communications skills required.
