MAIN OBJECTIVE

The officer – HR Administration, will play a crucial role in overseeing and managing the day-to-day operations of the HR department. The role will be responsible for ensuring the efficient and effective delivery of HR services, processes, and programs that support the organization's overall goals and objectives.

MAIN DUTIES

1. HR Operations Management

  • Propose of HR policies, procedures, and programs that align with the organization's goals and comply with applicable laws and regulations.

  • Manage the HR operations, including employee lifecycle processes and requests (salary certificate, reference letter, employment letter, embassy letter, etc).

  • Ensure accurate and timely HR data management and reporting, leveraging HR information systems (HRIS) or other relevant tools.

  • Ensure the employee record details are up to date within the system covering but not limited to educational certification, valid identifications (national identification card, passport), dependent details, marriage certification, etc.

  • Confirm Cabin Crew and Pilot leaves requests and information is up to date through AIMS to streamline business operations

  • Certify the employee employment contract expiry information's and renewal process is conducted on time and effectively.

  • Oversee the issuance of joining, annual leave ad repatriation tickets for expatriate employees as per current Policy and Procedures.

  • Review and approve HR Admin forms such as PTN (Personal Transfer Notification) requests, Promotion Letters, etc for all staff.

  • Review and clarify reporting line amendment requests within the organization.

  • Approve employee ID Card requests and enrollment of card, Finger Print.

 

2. Off Boarding Process

Ensure all exit formalities are conducted as follows;

  • Maintain a sufficient off boarding process by ensuring the exist formalities in the system is duly completed and signed off by the concerned system deregistration, repatriation for expatriates, Training Bonds are cleared etc. Company ID Cards, Airport Passes and Medical Insurance Cards are returned.

  • Ensure the Final Settlement of the employee have been captured, calculated and the necessary approvals / signatures obtained, forwarded to Finance Payables for processing and completion of existing employee's personal file.

  • Ensure the exit interview for employees are conducted with no pending issues that may arise. Conduct the exit interviews basedon business requirements when required.

  • Review and approve final settlement TRAF (Tender Request Approval Form) requests.

     


 

3. Shift Roaster / Pattern

  • Create, ensure, and maintain the shift pattern in Oracle HRMS System.

  • Oversee any technical or communication issues that may arise.

  • Ensure new joiner in the system is assigned in the appropriate shift roaster.

  • Review the Shift Allowance Reconciliation Report to ensure no gaps within the process.

  • Review and update the appropriate shift pattern due to shift change and business requirements.

 

4. Outstation

  • Ensure all processes, requests and inquiries within Gulf Air outstation are appropriately communicated and closed in a timely manner.

  • Resolve any issues that are raised by team.

 

5. Continuous Improvement

  • Review the monthly absenteeism report to ensure they are issued accurately and in a timely manner.

  • Ensure the staff attendance is followed up and cleared with the employee by Admin Team.

  • Ensure proper documentation and record-keeping to meet legal and audit requirements.

  • Continuously evaluate HR processes to enhance efficiency, effectiveness, and employee experience.

  • Oversee the adjustments of leave balances, OT, DOIL (Days Off In Lieu), Compassion Leave, Marriage Leave, Training Leave, Duty Travel, ATRS, etc.

 

6. Point of Contact

  • Oversee and sign off on all promotion and pay progression requests that are processed on the necessary promotion/pay progression form, status change forms and letters following the concerned promotion and pay progression procedures.

  • Oversee all Employment Contract Renewals, ensuring the renewal form is accurately populated following up on signatures followed by the issuance of a contract addendum letter in case of a change in compensation and Benefits.

  • Attend if required to Employee Relation grievance matters to ensure the exit formalities and decisions are complied with laws and regulations.

Education & Experience
  • Bachelor's degree in Human Resources, Business Administration
