MAIN OBJECTIVES

To provide the clerical and secretarial support to the sales team with particular emphasis on responding accurately and promptly to queries and follow-ups from Sales and Marketing offices, Travel Agencies, Commercial and Government houses on subject requiring CM/SM’s action.

MAIN DUTIES
  1. Maintain an accurate recording and filling system of the Sales Teams projects and reports to ease retrieval of related documents and facilitate tracking of projects status. 

  2. Manage the CM/SM’s daily appointments and meetings and make available all required agenda/documents.

  3. Coordinate and arrange for Weekly Sales Management Meetings, minutes and proceeding and follow up on action times.

  4. Type memos, correspondences and reports and provide clerical support to sales office staff.

  5. Coordinate and follow up on implementation of resolutions and actions list.

  6. Follow up the sanctions requested with Marketing department to ensure that these are approved and received at proper time.

  7. Answer office telephone, take messages and distribute incoming mail and prepare outgoing mail.

  8. Prepare and update categorized invitation, greeting, mailing and giveaway distribution lists, to ensure that all Travel Agents are supplied.

  9. Coordinate CM/SM’s meetings with GSAs Agents, Consolidators, Tour Operators, Interlines, Airlines Consultants and Head Office.  Take minutes of formal meetings and follow up on action items.

  10. Create, organize and manage a sales data bank including mailing list.

  11. Process and coordinate the HR issues in the station and reports at local level and reports them to the HR Department at HDQ

  12. Responsible for maintaining the stock and records of the giveaways at the station level. 

  13. Responsible for the process and maintaining the records of the stations FOC/DG/ID …. Etc and making sure it is as per the company’s rules and regulations.  Forward the required monthly reports to the reveue department in HQ.

  14.  Process the CM/SM’s duty travel and claims.

  15.  Perform other duties as may be required by the CM/SM.

EDUCATION & TRAINING
  • High School Diploma

  • 0-1 years of relevant sales experience
