JOB PURPOSE

The Security Administration Officer is responsible for managing and coordinating all administrative and operational support functions within the Gulf Air Headquarters Security Department.

The role ensures the smooth execution of security processes, including shift roster management, airport pass processing, security clearances, training coordination, procurement of security consumables, uniform distribution, and administrative support to senior managers. The position plays a key role in maintaining compliance with regulatory requirements and supporting efficient departmental workflow

KEY RESPONSIBILITIES

Administrative & Operational Management

  • Manage all aspects of the security staff shift roster, including annual, sick, and compassionate leave applications, time & attendance reporting, and duty travel.

  • Manage the administration and workflow of the GF Headquarters Security Department to maintain efficiency and effectiveness.

  • Perform administrative duties for the Senior Manager Security and department managers with significant autonomy and decision-making authority.

  • Prepare minutes of monthly HDQ security staff meetings and follow up on action items.

  • Arrange duty travel for department officers, including visas, hotel bookings, and flight reservations, often at short notice.

  • Organize and maintain adequate stock of stationery and office supplies for the department.

  • Perform any other security administration tasks assigned by the Senior Manager Security or nominated deputy.

  • Provide administrative support of similar scope to the Manager Emergency Response Planning.

     

Passes, Clearances & Regulatory Requirements

  • Manage the issue, replacement, and recovery of BAC Airport Passes and GF Identity Badges for all GF HQ and outstation employees.

  • Oversee airport pass applications for:

    • Permanent Passes.

    • Airside Driving Permits (GF vehicles, subcontractors, staff).

    • Temporary Airport Passes.

      • Manage all Basic Aviation Security Training requirements for Airport Pass holders through the Learning Management System as per BCAA & BAC regulations.

      • Manage the Security Clearance process for GF HQ personnel, liaising with the NIA and CID.

      • Manage incidents and violations related to airport pass permits issued by MOI, BAC, or BCAA.

      • Manage permits and approvals for GF safety and operational equipment entering Bahrain International Airport.

     

    Procurement & Asset Management

    • Manage purchase requisitions for all security consumables, such as ID cards, office supplies, and items not stocked at GF Stores.

    • Manage and coordinate the distribution of Security Staff uniforms across the GF network.

    • Prepare and arrange distribution of the Gulf Air Security Program to stations across the network.

       

      Reporting & Invoicing

    • Manage, review, and cross-check all security-related invoices and telephone bills with the Senior Manager Security.

    • Manage, review, and submit monthly screening checks reports to the UK Embassy.

    • Distribute monthly departmental reports to HR Payroll (lost IDs, traffic violations, etc.).

    • Prepare and distribute quarterly Crew Member Certificate reports to BCAA (lost, damaged, retired).

       

      Records & Confidential Information Management

    • Manage and maintain all confidential files from MOI, NIA, and BCAA, as well as departmental documents, ensuring chronological accuracy and secure storage.

    Draft independent responses to letters from BCAA, BAC, MOI, NIA, and CID with minimal supervision and route correspondence to staff for action as required

EDUCATION / QUALIFICATIONS
  • High School Certificate.

  • Good standard of written and spoken English.

  • IT literate with proficiency in MS Office (Word, Excel).

  • Completion of the GF Basic AVSEC Course

EXPERIENCE
  • (0-1) year administrative experience.

  • Airline industry experience in a similar role is preferred.
